Pre-purchase questions

I am currently evaluating Easify and I have a few questions. My business is a small specialist food retail shop with around 1000 lines in stock. I am currently using Unicenta which is has been just about good enough so far but I would like a new system with effective inventory control, that helps with ordering, and that will enable me to take online orders for items in my shop. In addition, I am about to register my business for VAT so I need to ensure that I can obtain the correct information for VAT returns.

My initial questions are:

Is the product still being actively developed and supported?

Is there a way to evaluate the Woocommerce integration so I can be sure I can synchronise my inventory with an online store?

Is there an end-of-day report that can give information on VAT charged in a form suitable for entering into accounts software: i.e. totals of all purchases made at the various VAT rates.

Can the product supplier information include a hyperlink to the appropriate ordering page of the supplier's website?

Can products have information for multiple suppliers so I can compare prices?

Can products have multiple locations so I can see quantities of items that are on the shelves and in the store room separately?

Is there any way to record the best before date of products in stock and get reminders when items are due to expire? If not, is this on the future feature list?

Does the hosted Easify server include a web interface so that I can check stock levels via a browser?

Sorry, lots of questions at once. I'm sure I will have more soon! Many thanks for your help.

Hi Adrian,

Easify is most certainly being supported and developed, in fact we released a new update for it today.

You can evaluate the WooCommerce integration for 30 days before you need to purchase a subscription for it.

You can run end of day reports that will give you your VAT content.

With suppliers and products you can add notes, but these wouldn't be clickable links - just text notes. However you could easily copy and paste the URL from the notes to your browser address bar.

Easify supports one supplier per product at present.

We don't support best before date management, but we can look at adding this in a future update.

The hosted server (Easify Cloud Server) does not have a web interface (yet), you would need to use the Easify Client Software to access it. However we will soon be releasing a beta version of "Easify in a Browser" which will allow you to access all of your reports via a web interface.

Hi Adrian,

EASU only works with the old Easify Version 3, there is a free trial of EASU available but it's the old way of doing things.

The new Version 4 ecommerce code doesn't require EASU, and we can let you have a free 30 day trial of the Wordpress/WooCommerce subscription that is required.

Yes, please, that would be very helpful.

I am considering purchasing the local hosting licence but if I wanted to later change to a subscription licence is it easy to migrate the data to the hosted server?

It's no problem to migrate from a local on-premises server to a cloud server, you'd just provide us with a backup of Easify and we would do the rest.

With the free trial, we can sort that out for you once we have released the new Ecommerce code. I'll send out a news email when it's released, so if you could drop me an email to support@easify.co.uk at that time we can provide you with the trial subscriptions that you would need.

I'm just playing with the Import Products feature. I think I've got it to import products from Unicenta but is the demo version limited to only importing 25 products? If not, I have a problem!

There are no limitations with the demo version, it's the full products just time limited to 30 days.

It sounds like there is a problem with the CSV file you are using, do you get any errors or warnings when you preview the data?

I was getting a message saying:

"Could not preview imported data. Could not apply default values to preview row. Object reference not set to an instance of an object"

The problem seemed to be with importing products in a particular category. I deleted the category from Easify and it then reported that the import succeeded. There were a handful of errors in the preview list which I mostly fixed (hard to find them all without being able to sort the preview list).

However, I have around 2160 products in my CSV file and after import there were only around 790 products in the Easify catalogue.

Does Easify allow the EAN field to have non-numeric characters? In Unicenta I was using custom barcodes with non-numeric characters for home-made products. That would account for a few of the missing items but not all of them.

Now, when I try to reimport the csv, it stops at around line 125, giving the same error as above. I'm not sure what is wrong with that line.

You can have non numeric characters in the EAN field, but EAN codes are usually digits only.

To get the CSV to import you need to fix all of the errors that are displayed in the preview. Typically many of the errors will be related and will be caused by things like having quotation marks or commas in the CSV fields, or having missing values (i.e. a missing comma delimited column not just a blank value).
