Using Dropbox for DMS

I am a new comer to easify and it's systems and processes.

I am trying to setup dropbox as my DMS as I work on the road all day creating invoices through epos and my book keeper is on the other side of the city and needs access to the data and documents.

I have a dropbox account etc and I can point easify to it, but I'm not exactly sure how to share the easify folders so that everyone on my easify account can access the DMS.

Since dropbox is cloud based why can I not just point easify to it and then anyone who has access to my easify can see the dms ??

The DMS in Easify points to a folder that is on your PC or Laptop, or to a mapped network drive. It can't point directly to a cloud service.

The main thing with the DMS is that the DMS Folder Path is set once in Easify options for all users, which means they all have to access the DMS at the same folder location.

What you could try is as follows:

Point DropBox to use the folder (say) C:\DropBox

Set the Easify DMS Path to C:\DropBox

Do this on every computer that you access Easify with.

That way you will save and open files from C:\DropBox, and DropBox will synchronise the folder.

Note: You would need to create the C:\DropBox folder, and you could name it anything you like, just make sure it exists and is called exactly the same on all the computers.

Many thanks for your reply however, it assumes I have pc skills beyond my ability.

I might have missed an obvious question here, do Easify offer a DMS service that allows remote access to my data ??

Would I need to leave my main pc (at home) on and connected to Easify in order for remote connections to have access to the data within Easify ?? In that case I would need another user licence as I login in and out whilst I'm mobile which would disconnect my pc at home.

I need to find a solution to this as I use Easify whilst mobile for invoices, and my book keeper needs access to the files and folders that easify creates, again from a remote location.

My fear here is that I am using easify daily to manage my invoicing and stock control and everyday the documents created and stored by easify are growing. Obviously the last thing I want or need is to lose and data or need to re-align current stored data.

Hi Paul,

We don't offer a cloud based DMS service, for this you would use a dedicated file storage service like DropBox, OneDrive, Google Drive etc...

Setting up the folders is straight forward for an IT bloke, so I'd recommend getting hold of your friendly local IT bloke and ask him to do the following:

1. Point DropBox to use the folder (say) C:\DropBox

2. Set the Easify DMS Path to C:\DropBox

3. Do this on every computer that you access Easify with.

If you use DropBox (for example) you wouldn't need to leave your computer on as long as it has been connected to the internet and DropBox has synchronised any documents you have saved.

I followed your suggested instructions for using dropbox as my DMS, and fingers crossed I think I have finally sorted it, I thought this might help others who may wish to use dropbox as their DMS.

I came across a couple of issues that I needed to overcome to be able to move dropbox to the c:drive, these 2 threads gave me all the answers I needed.

Also for novices like me, I must point out that you need to perform all the tasks on each and every PC that you wish to access the DMS on through easify, this is really important.
